Job Description

The Production Coordinator is responsible for ensuring the smooth operation of the project by proactively communicating with artists, tracking tasks, and relaying status updates to the production and supervision team. They will lead daily rounds to assign and track tasks, communicate with artists about progress, and identify roadblocks. The coordinator will also attend dailies, take detailed notes, and coordinate the flow of materials to and from the client. They will coordinate with other Production Coordinators to ensure smooth transitions between departments and work with supervisors to assign tasks based on skill and availability, while keeping the Shotgrid up to date. The role involves providing client production support, administrative support, and cross-site communication.
Must have:
  • Experience as a Production Coordinator in a VFX studio
  • Excellent oral and written communication skills
  • Experience in scheduling and meeting deadlines
  • Knowledge of the VFX production pipeline
  • Experience coordinating and running dailies
Good to have:
  • HTML / Wiki / Confluence skills
  • Prior experience with Previs / Postvis / Techvis
  • On-set experience

Le Coordinateur de Production est responsable du bon déroulement du projet en communiquant de manière proactive avec ses artistes, en suivant les tâches et en relayant les mises à jour de statut à l'équipe de production et de supervision.

Il est responsable des artistes qui lui sont assignés en veillant à ce que les tâches quotidiennes et hebdomadaires des artistes soient communiquées, allouées, précises et réalisables. Il est attendu qu'il facilite activement le flux d'informations en amont et en aval entre les départements. Ce rôle exige une vigilance constante pour maintenir les bases de données de production avec des tâches, des étapes, des éléments, des statuts de plans et des notes précises. Il coordonnera les « dailies », prendra des notes détaillées et veillera à la bonne circulation des matériaux vers et depuis le client.

Principales responsabilités

Rounds :
  • Diriger les rounds quotidiens pour assigner et suivre les tâches dans Shotgrid (SG).
  • Communiquer avec les artistes sur l'avancement, le statut des tâches et les notes.
  • Identifier les obstacles et prendre des mesures en informant les superviseurs et les équipes de production

Dailies :
  • Assister aux dailies, introduire les détails des versions et suivre l'avancement.
  • Prendre des notes concises dans SG, organiser des playlists pour les envois au client et préparer les révisions client.

Prêt à Être Envoyé :
  • Suivre les tâches, éléments et plans nécessaires pour les départements en amont et en aval.
  • Coordonner avec les autres Coordinateurs de Production pour assurer des transitions fluides entre les départements.
  • Envoyer des emails « Prêt à être envoyé » pour permettre aux départements en aval de prendre en charge les travaux approuvés.
 
Planification dans SG :
  • Travailler avec les superviseurs de département pour assigner les tâches en fonction des compétences et de la disponibilité.
  • Programmer et suivre la progression des tâches dans SG sur au moins deux semaines à l'avance.
  • Garder Shotgrid (SG) à jour et précis.
 
Objectifs :
  • Collaborer avec le Producteur de Ligne et le Senior Production Manager (SPM) pour atteindre les objectifs quotidiens et hebdomadaires.
  • Signaler les risques liés à l'atteinte des objectifs et assister aux réunions d'objectifs pour suivre les priorités et les mises à jour.
  • Informer les parties prenantes des changements de planning via SG, email ou messagerie instantanée.
 
Communication Inter-Sites :
  • Communiquer régulièrement entre les différents sites avec les homologues de production et les artistes.
  • Fournir des mises à jour, s’informer de l’avancement et aider à résoudre les obstacles du pipeline par appels, emails et messagerie.
 
Soutien à la Production Client :
  • Remplacer l'Assistant de Production (PA) si nécessaire pour coordonner les livraisons clients et les consigner.
  • Participer aux appels clients et faire le suivi avec les superviseurs pour s'assurer que les notes sont communiquées aux départements concernés.
 
Soutien Administratif :
  • Fournir un soutien administratif à l'équipe de gestion de production et aux superviseurs de département selon les besoins.
 
Compétences Requises
  • Expérience en tant que Coordinateur de Production dans un studio de VFX.
  • Excellente communication orale et écrite.
  • Expérience avérée dans la planification, le respect des délais et l'adaptation à des calendriers changeants.
  • Bonne connaissance du pipeline de production de films VFX et des fonctions des départements concernés.
  • Expérience dans la coordination et la gestion des « dailies ».
  • Expérience avec Google Workspace.
  • Expérience avec Autodesk Shotgrid/Grid/Flow.
  • Diplôme ou formation équivalente.
  • Aptitude à apprendre de nouveaux logiciels et intérêt à suivre l'évolution des technologies.
 
Atouts
  • Compétences en HTML / Wiki / Confluence.
  • Expérience préalable avec Previs / Postvis / Techvis.
  • Expérience sur les plateaux.

The Production Coordinator is responsible for the smooth running of the show by proactively communicating with their artists, tracking tasks and relaying status updates to the production and supervision team.

They are responsible for the artists assigned to them by ensuring  artists' daily and weekly scheduled tasks are communicated, allocated, accurate and achievable. They are expected to actively facilitate  the flow of information upstream and downstream between departments. This role requires  them to be ever vigilant  in maintaining production databases with accurate tasks, stages, elements, shot status and notes. They will coordinate  dailies, take detailed notes ensuring the flow of materials to and from the client.


Key Responsibilities

Rounds:
  • Lead daily rounds to assign and track tasks in Shotgrid (SG).
  • Communicate with artists about progress, task status, and notes.
  • Identify roadblocks and take action by notifying supervisors and production teams.

Dailies:
  • Attend dailies, introduce version details, and track progress.
  • Take concise notes in SG, organise playlists for client sends, and prep for client reviews.

Good to Go:
  • Keep track of tasks, elements, and shots needed for upstream and downstream departments.
  • Coordinate with other Production Coordinators to ensure smooth transitions between departments.
  • Send “Good to Go” emails to allow approved work to be picked up by other departments.

Scheduling in SG:
  • Work with department supervisors to assign tasks based on skill and availability.
  • Schedule and track task progression in SG for at least two weeks in advance.
  • Keep Shotgrid (SG) accurate and up to date.

Targets:
  • Collaborate with the Line Producer and Senior Production Manager (SPM) to meet daily and weekly targets.
  • Flag risks to meeting targets and attend target meetings to track priorities and updates.
  • Inform stakeholders of schedule changes via SG, email, or instant messaging.

Cross-Site Communication:
  • Regularly communicate across different sites with production counterparts and artists.
  • Provide updates, inquire about progress, and help problem-solve pipeline obstacles through calls, emails, and messaging.

Client Production Support:
  • Step in for the PA when needed to coordinate client deliveries and log them.
  • Attend client calls and follow up with supervisors to ensure notes are communicated to the right departments.

Administrative Support:
  • Provide administrative support to the production management team and department supervisors as needed.

Must Have
  • Experience at a VFX studio as a Production Coordinator.
  • Strong vocal and written communicator.
  • Proven experience  scheduling, meeting deadlines and adapting to changing timelines.
  • Good knowledge of the VFX Feature Film production pipeline, and the functions of the relevant departments within the pipeline.
  • Experience coordinating and running Dailies.
  • Experience with Google Workspace.
  • Experience in Autodesk Shotgrid/Grid/Flow.
  • Diploma or equivalent education.
  • Aptitude for learning new software and interest in keeping up with the ever changing technological landscape.


Nice to Have

  • HTML / Wiki / Confluence skills
  • Prior experience with Previs / Postvis / Techvis
  • Onset Experience

As a unionized employee, you will be required to join the union and will benefit from the conditions set out in the collective agreement.
