The Business and Operations Specialist manages scaled administrative and operational tasks, providing support to executives, managers, and employees. Responsibilities include organizing meeting schedules, managing conference rooms, planning internal events, generating reports and presentations, managing office space, and preparing communications. This role requires real-time scheduling support, calendar management, travel arrangements, expense reporting, and representing the business unit in site-wide/global initiatives. The Specialist also leads established programs, drives operational design and implementation, manages programs according to legal and corporate guidelines, identifies change management needs, and supports teams with communications, training, and content management. The ideal candidate will have strong time management, problem-solving, and communication skills, and the ability to work independently in a dynamic environment.

Job Description

This will be a role to manage scaled administrative and operation tasks: 

  • Performs various administrative, organizational, financial, operational, and project-related activities in support of an individual or group varying in size. 

  • Provides support to executives (more senior level Administrative Assistants), managers, employees, and office visitors by handling daily office tasks. 

  • Organizes meeting schedules, manages, and maintains conference rooms for executives and various office teams. 

  • Plans, coordinates, and executes internal events such as off-sites, team building events and organization wide meetings. 

  • Generates reports and presentations, sets up meetings, manages office space, writes and edits documents and manages filing systems. 

  • Prepares communications, such as memos, emails, invoices, reports and other correspondence. 

  • Provides real-time scheduling support by booking appointments and preventing conflicts. 

  • Manages calendars, travel arrangements and expense reporting. Represents business unit in site wide/global initiatives. 

  • Collaborates with other administrative and/or operational staff to exchange data and information that enables budget planning and expense control.

  • Leads ongoing, established programs, varying in domain areas/focus areas, complexity and business functions, and scope that may have an operational focus. 

  • Drives the operational design and implementation and management of ongoing programs in line with legal requirements and corporate guidelines to achieve specific business objectives such as developing new solutions, improving operational efficiencies, or enhancing customer experience. 

  • Identifies the change management needs required by the program, in conjunction with supporting teams in field and executive communications, training, enablement, and content management.

Qualifications

  • A Bachelor's Degree in General Business Management or any other related field/working experience for 5-7 years.

  • Have a strong desire to work and deliver results in a fast-moving, dynamic, regional, team-oriented environment to achieve goals in creative and effective ways.

  • Demonstrate strong ability of continuous learning, multiple stakeholder management, problem solving, initiative and communication.

  • Demonstrate passion for administrative and customer-facing works and program/site level operation management activities. 

  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.

  • Able to deal with VUCA (volatility, uncertainty, complexity and ambiguity) business environment and work independently without closely monitoring.

  • Fluent oral and written English skills, as well as proficiency in local language.
