Job Description

This Management Assistant role supports Gimica's Managing Director/JustPlay's CFO, handling operational and strategic tasks. Responsibilities include managing the CFO's calendar, coordinating meetings and travel, overseeing vendor communication, managing invoices and receipts, supporting the Grünwald office (5 team members), fostering a welcoming atmosphere, and assisting other management team members. The ideal candidate has 3+ years of experience supporting executive leaders in an international setting, is based near Munich, works independently, is highly organized, detail-oriented, and proficient in German and English. The role requires managing confidential information, coordinating local services, and supporting the Berlin HQ team with ad-hoc tasks.

Your mission

We are a casual mobile game publisher (Gimica) and leading loyalty platform operator (JustPlay).

Our purpose is to enable free-to-play mobile game players to get rewarded for their hobby through our JustPlay loyalty rewards app. Powered by our subsidiary Gimica - one of the largest casual game publishers - our games reach millions of players, with our solitaire game ranking among the most downloaded card games in the U.S.

We are looking for a Management Assistant to support Gimica’s Managing Director / JustPlay’s CFO. In this role, you will play a key part in ensuring an efficient daily routine by managing both operational and strategic tasks, ensuring our leadership is well-prepared and supported in both business and personal matters. Additionally, you will help coordinate our local (serviced) Gimica Grünwald office (5 team members), ensuring seamless operations, facilitating visits from the JustPlay Berlin HQ, and fostering a welcoming atmosphere.

Job responsibilities
  • Ensure a seamless daily routine for our CFO by managing operational tasks such as vendor communication, reservations, and coordinating internal and external meetings

  • Oversee the CFO’s calendar, scheduling meetings and weekly trips to JustPlay’s Berlin HQ 

  • Plan and organize business trips, including booking travel arrangements and managing travel expense reports  

  • Coordinate and supervise vendors and service providers locally to maintain efficiency and high-quality service

  • Accurately entering digital receipts and efficiently manage incoming invoices in a digital format and handle Grünwald mail

  • Support Gimica’s Grünwald (serviced) office, fostering a welcoming atmosphere for our small local team (5 team members) and ensuring a well-stocked selection of snacks and office supplies

  • Offer support to other members of our Management Team, based on individual ad hoc needs

  • Provide support to the Berlin HQ team by handling ad hoc tasks, including filing and invoice management

The experience we hope you bring to JustPlay
  • You have at least 3+ years in a similar role and a proven record of offering invaluable support to executive leaders within an international setting

  • You are based in Munich or surroundings and have the ability to work from our Grünwald office at least on 3 days/week (carsharing with the Munich team encouraged)

  • You work independently and show a high level of initiative

  • You are service oriented, proactive, detail-oriented, and highly organized, with the ability to balance multiple priorities in a dynamic environment

  • You have a strong customer-oriented mindset, paired with the ability to manage confidential information discreetly

  • You have excellent communication skills, with strong written and spoken proficiency in both German and English, allowing you to engage confidently with local vendors and international partners

  • You have a driver’s license and the flexibility of coordinating services locally
