Job Description

This Administrative Associate role in Zagreb involves overseeing daily office operations, managing procurement, ensuring a well-equipped and organized office, supervising reception, handling inquiries, managing office visitors, organizing travel, maintaining documentation, managing employee records (working hours, attendance, leave), administering student contracts, preparing employee-related documentation, and supporting employee events. The ideal candidate will have proven office administration experience, strong organizational and multitasking skills, time management abilities, self-motivation, excellent interpersonal skills, discretion, flexibility, and adaptability. The role requires handling confidential information and working well within a team.

Job Details

HOW WILL YOU CONTRIBUTE?

  • Oversee daily office operations, ensuring smooth functionality and efficiency
  • Manage procurement of office supplies and equipment, maintaining accurate inventory records
  • Ensure the office is well-equipped, organized, and clean at all times
  • Supervise the reception area, handle inquiries, and manage office visitors
  • Organize business travel arrangements 
  • Maintain and organize office documentation, records, and correspondence
  • Maintain accurate records of working hours, attendance, sick leave, and vacations
  • Administer and manage student contracts, ensuring timely preparation and communication
  • Prepare all necessary employee-related documentation, including reports, decisions, and certificates
  • Support the planning and execution of employee events, both formal and informal
