As the Workplace Experience Assistant, you'll be the friendly face of Easygo, welcoming staff and visitors to the office. You'll manage the reception desk, handle mail and parcel distribution, assist with interview scheduling, and contribute to the onboarding process. You'll also collaborate with the Workplace Experience team on various tasks, ensuring a smooth and positive experience for everyone.
Must have:

We are looking for a Workplace Experience Assistant to join our workplace experience team to manage the reception desk and support the workplace experience team and wider business. You will get to meet and greet everyone coming into the office and direct them to where they need to be. You will be a part of a wider People & Culture team responsible for Workplace Experience, HR, and Talent Acquisition. You will also assist the Talent Acquisition team by helping out with interviews and scheduling. Your role with us: 

As the first point of contact for new arrivals, you will represent Easygo in a public-facing customer service role, welcoming staff and visitors, ensuring their experience of the company is positive and that their business is handled in a timely and effective manner. The Receptionist role sits within the Workplace Experience Team working collaboratively towards continuous improvement of service levels at the Easygo office. You will be responsible for managing the reception desk and supporting the workplace experience and Talent acquisition teams in day to day duties.

What you will do: 

  • Provide efficient and friendly assistance to internal and external stakeholders arriving at the office
  • Ensure that the reception area is tidy and well-presented and visitors sign in on arrival 
  • Manage mail & parcel distribution throughout the office, including receiving, distributing, and storing deliveries
  • Assist the Talent Acquisition function by scheduling interviews, greeting candidates arriving for interviews and other administrative tasks  
  • Manage new staff onboarding administration and welcome pack preparation
  • Log maintenance requests across our Melbourne offices and manage all contractors attending on-site
  • Work collaboratively with the Work Experience team to provide an outstanding experience for all Easygo employees and visitors to the office
  • Work with the Workplace Experience Specialist to ensure the reception desk is covered at all times
  • Manage the security pass system, including new card creation, offboarding and maintaining stock levels of cards, covers, and lanyards
  • Assist the Workplace Experience team with ad hoc administrative tasks, fit out requirements and events
  • You will act as the main point of contact for the security team, ensuring there is a handover at the end of shift each day.

What you will bring:

  • Experience in Customer Service or related industry
  • Excellent communication and interpersonal skills
  • Experience with Google suite - gmail, calendar, docs and sheets
  • A year or more in a reception, admin or an EA role
  • You’ll be well organised, able to prioritise and manage your time effectively, and act transparently with those you work with
  • You’ll enjoy problem-solving and enjoy the various challenges that come with a fast-paced and evolving organisation.

  • Strong organisational skills and able to take initiative
  • Attention to detail & ability to manage multiple tasks effectively
  • Professional and adaptable with strong problem-solving skills
