Job Description

Island Records seeks a detail-oriented Marketing Administrative Assistant to support the marketing team. Responsibilities include general administrative duties (calendar management, travel booking, expense reports), assisting across all marketing areas (product management, tour marketing, advertising, branding), managing back-end processes for marketing projects (POs, invoices, agreements), establishing relationships with artists and internal teams, creating marketing materials (one-sheets, plans, decks), managing artist assets, coordinating artist promo itineraries and travel, planning events, handling marketing invoices and budget, and working with production to schedule releases. The ideal candidate possesses excellent organizational, communication, and problem-solving skills, and a passion for music.

How we LEAD:  

Island Records is currently seeking a dynamic Marketing Administrative Assistant to provide support to Marketing team. The ideal candidate is obsessively detailed, pro-active, has a knack for problem solving and a “can do” attitude. Experience supporting more than one senior executive will be required. Customer service mindset, entrepreneurial spirit, polished professional demeanor, and the ability to keep calm under pressure are musts.

How You'll CREATE:

  • Handle general administrative duties including maintaining calendars, scheduling meetings, booking travel, submitting expense reports, & taking notes

  • Assist in all areas of the marketing department including product management, tour marketing, advertising, and branding; also manage all back-end processes for marketing projects (processing POs, invoices, agreements, etc.)

  • Establish and maintain relationships with artists, artist management, and internal team

  • Create and update artist one-sheets, marketing plans, and pitch decks using Power Point, Key Note, and Google Slides

  • Manage all artist asset folders & facilitate asset creation with content team

  • Coordinate artist promo itineraries and booking artist travel

  • Plan and execute special events

  • Handle marketing related invoices and manage the overall marketing budget using excel & Google Sheets

  • Work with production to schedule releases

Bring Your VIBE:

  • Preferred 1 year of experience as an Administrative Assistant, receptionist and/or previous intern experience

  • Preferred 1 year of experience booking travel, calendar management

  • Passion for music discovery and the creative process

  • In touch with current trends, artists, and digital media

  • Ability to interact comfortably and effectively with employees of the company at all levels including Senior Management

  • Ability to interact comfortably and effectively with external partners and clients

  • High attention to detail, excellent follow-through, problem-solving and organizational skills

  • Self-motivated, proactive, and resourceful

  • Flexible – able to adjust to changing priorities, and able to multi-task

  • Excellent customer service skills

  • Excellent time management skills

  • Excellent written and verbal communication

  • Strong proficiency and working knowledge of Microsoft Office Products

  • Proficiency in creative programs such as Adobe Creative Suite, Keynote, etc.
