Operations Coordinator
Onsite | Troy, NY

Velan Studios maintains a team of both remote, hybrid, and onsite employees. Hybrid and onsite employees work from our office in Troy, NY.  

Velan Studios is seeking an Operations Coordinator to join our studio working on site at our studio in Troy. This is a temporary position that will span approximately 6-9 months with potential to grow into regular, full-time role beyond the initial engagement. As an Operations Coordinator, you will have the opportunity to utilize your ability to be organized, innovative and focused on the overall employee experience.  This position is an excellent opportunity to gain experience in the administrative areas within the video game industry as an intern or recent graduate of a 2 year or 4-year degree program.  

The ideal candidate will be a flexible, out-of-the-box thinker with a desire to support a mid-sized organization in an administrative capacity.   

Responsibilities 

Administrative  

  • Collaborate with Studio leadership, key stakeholders, and HR team to continue to update and maintain a fun, inviting atmosphere to attract and retain our most important asset, our PEOPLE 
  • Work with HR and employee resource groups to creatively brainstorm ways to continuously engage and facilitate an inclusive environment for the on-site, remote, and hybrid style team members of the Studio  
  • Coordinate with HR & IT on onboarding activities for new employees    
  • Serve as point of contact with building management and vendors to maintain the studio operation 
  • Partner with admin, HR and development teams to assist with office administration duties as necessary  
  • Manage efficient operation of the employee breakroom areas:  creating rotation schedule for refill of drinks, snacks and random food supplies as needed  
  • Participate in administrative projects as needed  

Recruiting/Benefits 

  • Partner with HR Generalist (HRG) to support the recruiting process as the need arises 
  • Assist with the development and implementation of social media strategies to attract and enhance employer brand across various platforms (LinkedIn, Facebook, Twitter, Instagram, etc.)   
  • Work with the HR/Marketing team to create compelling and informative social media content, including job postings, company updates, employee spotlights, and industry news to engage with potential candidates 
  • Assist with various benefit related items, such as carrier bill reconciliations, benefit reporting requirements and distribution of required employee notices  

 Community Liaison  

  • Develop and foster relationships and participation with/in local community and volunteer organizations/events.  
  • Work with HR Generalist to provide relocating team members with information on the local happenings in the region.   

Requirements

  • Prior experience in administrative capacity preferably in customer facing role 
  • Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word) and social media scheduling tools 
  • Strong problem solving, organizational and time management skills 
  • Ability to make sound decisions and demonstrate a high degree of trustworthiness in handling confidential information 
  • Excellent verbal and written communication skills 

Bonus Points

  • Bachelor’s degree in business, human resources or related field   
  • Experience working in a creative environment and/or passion for video games 
  • Knowledge of social media platforms and online methods of recruiting 
  • A creative and passionate mind with an ability to suggest improvements and improve our company in whatever way possible 

Compensation: $22.00-$27.00 per hour
