Principal Responsibilities:
Provide day-to-day secretarial assistance to the Director as well as all division staff as needed
Assist in ensuring smooth and effective communication both within the division, as well as between the division and other points of contact (other divisions, other Disney contacts, and Oriental Land Company (OLC), third-party owner and operator of Tokyo Disney Resort)
Schedule meetings, reserve meeting locations, and arrange interpreter support as necessary. Take meeting notes as necessary
Process time sheets, expense reports, as well as daily, weekly and monthly reports as requested
Handle outbound and incoming business trips for the Director, team, and business trippers, including coordination of the itinerary and meeting agenda with the US and other Disney counterparts and OLC
Arrange business meals
Provide office clerical functions such as filing, maintaining the organization chart, handling documents, and ordering office equipment for the team
Provide back-up support to peer group in the work area.
Draft, create and send documents, emails, and presentations for and on behalf of the leader
Drive the company van for VIP visitors
Support interpreter group, which includes the following tasks but not limited to:
Managing paperwork, invoices, and contracts
Day-to-day support
Maintaining equipment and devices
Knowledge and Skills:
Strong computer skills, including expertise in PowerPoint, Excel, Word, and Outlook
English/Japanese bilingual. Proficient in verbal and writing in both languages.
Japanese driver’s license required and must be willing to drive
Ability to anticipate team members’ needs and proactively offer assistance
Ability to coordinate and execute projects on deadline
2 years of professional office support experience in a corporate environment
Organized and flexible, with ability to prioritize and multi-task
Proven ability to resolve and manage conflicts with scheduling and meeting deadlines
Proven ability to efficiently handle workflow and process
Strong interpersonal skills
Knowledge or interest in IT items such as smart phones, PDF, and various software such as Acrobat preferred.
International experience such as studying overseas or working in a global environment preferred
