Summary
The Deployment Administrator is responsible for scheduling deployments and maintaining records for Victorian & South Australian jurisdictions. This position will ensure all required documentation for deployments is prepared before installation, customer records are maintained and updated in Salesforce, and liaise with customers where needed.
The purpose of this position is to ensure that data about scheduled works is reflective of real-life actions and that it remains correct from end to end, from works being scoped to their completion in the field.
What'll You Do
The following is a list of typical duties of the Deployment Administrator:
Scheduling Deployments (pre-deployment)
Receive and review incoming request forms, product manifests, sales orders, monitoring system extracts etc, and act accordingly
Determine the scope of work with the Deployment Manager to efficiently allocate a variety of jobs across days and weeks
Liaise with the deployment prep team to ensure all required materials are available for scheduled works
Creation of deployment “Cases” in the Salesforce application using customer documentation (work orders and SWF’s) to ensure the accuracy of Salesforce-scheduled works
Ensure that all products entering and leaving the venues are accurately tracked and captured within Salesforce Cases for database integrity and accurate billing
Oversight and frequent follow-up of customer paperwork, ensuring timeliness, completeness, and correctness. Initiate changes to plans to optimise resourcing, efficiency, and execution.
Escalate to venues and management groups as required when customers have failed to follow the correct process and provide deliverables.
Warehouse & Logistics Liaison
Using the Deployment Planning Schedule to oversee the status of readiness for each deployment, in particular, the critical function of prep line production. Action shortfalls with required stakeholders, including engagement with external suppliers.
Follow up timely and accurate updates of Stock On Hand reporting by the team to ensure correct insights into the status of multi-vendor product deliveries and overall readiness.

What We're Looking For
Minimum 3 years' administration experience
Excellent communication skills, both written and verbal
Strong ability in use of Microsoft Office package:
Word
Excel
PowerPoint
Previous experience in Salesforce software application preferable but not essential
