Job Description

QS is seeking an Events Assistant to join its busy Events department. The role involves ensuring over 250 QS events are managed efficiently and collaborating with event managers to deliver events to a high standard. The assistant will be responsible for various tasks including managing venue details, creating online logistics packs, updating internal systems, managing payments, building event platforms, and providing customer service. The role requires travel to in-person events when necessary and involves administrative tasks.
Must have:

  • Experience in the travel industry

Job type: Full time, permanent – hybrid


This position offers a hybrid work model, allowing flexibility between working from home and our office.
Typically, employees are expected to work 2 days in the office per week.

The Role


QS is looking for an Events Assistant to join its busy Events department. The position will play a vital role in ensuring all 250+ QS events are managed with exceptional efficiency and will work closely with QS event managers to deliver all events to a best-in-class standard.

This is a fantastic opportunity for someone who is highly organised, proactive, and passionate about creating great experiences for our clients and participants.

 

Role responsibilities



·       Supporting managers and colleagues with their events including but not exclusively: venue briefs, booking bedrooms, creating floorplans, arranging printing, ordering catering.

·       Creating and maintaining online Logistics packs. 

·       Updating QS internal systems with event and venue details.

·       Managing venue payments and invoicing.

·       Build and upkeep of QS event platforms and event App.

·       Collaborating closely with customer services and sales to ensure all clients receive the highest level of customer service.

·       Managing QS equipment on tour (keeping track of inventory and checking all equipment is in working condition prior to being sent out on tours).

·       Assisting with client and staff Visa letters and travel enquiries.

·       Facilitating event preparation, performing administrative tasks related to event planning.

·       Travel to in-person events when required (up to a maximum of 2 weeks on the road at a time).

·       Responding to internal queries as needed including oversight of the central team email in boxes

·       Event management of QS online events.

·       Support for our continuous improvement and innovation agenda.

·       Any other duties that fall within the scope and purpose of the role.

 

Key skills and experience


Essential


·       Evidence of providing outstanding customer service.

·       Process oriented and an ability to work within systems.

·       Keen eye for design and close attention to detail.

·       Exceptional communication skills.

·       Excellent administrative skills.

·       Fluent in English.

 

Desirable

 

·       Experience of travel industry.

·       Knowledge of CRM systems, Netsuite preferably.

·       Proficiency in additional foreign languages.

 

Technical skills and qualifications

·       IT proficiency particularly around event management platforms and MS Office (particularly excel).
