Job Description

We are looking for a Payroll & Benefits Specialist to join our team in Belgium. In this role, you will be responsible for managing all aspects of payroll operations, including processing payroll, ensuring compliance with all applicable laws and regulations, and administering employee benefits. You will also be responsible for developing and implementing payroll strategies to improve efficiency and compliance. Responsibilities include: - Formulating the vision/objective for Payroll Operations and implementing Payroll strategies that support overall goals for the Company and enhance efficiency and compliance in Payroll Operations (Continuous Improvement) - Working effectively across Departmental lines and liaising with HR, Finance, and IT to implement Payroll strategies and Weekly/Semi-Monthly processing schedules, including setting deadlines for receipt of Payroll input data for Bonuses, GEM's, Commissions, etc... - Interfacing with third-party Payroll and Employee Benefit service providers in support of Payroll objectives and strategies - Planning, managing and documenting Payroll operations workflow; approving all Payroll calendars and Weekly/Semi-Monthly processing schedules, including setting deadlines for receipt of Payroll input data for Bonuses, GEM's, Commissions, etc... - Serving as the Company's Subject Matter Expert (SME) for Payroll-related issues - Effectively communicating with Associates regarding changes to Payroll policies/procedures; addressing questions from Associates regarding Payroll matters as they arise - Collaborating with external auditors on Payroll-related items during both Financial Statement and Employee Benefit Plan audits - Responding to tax and state/local Payroll tax notices - Completing other ad hoc Payroll-related tasks as necessary - Effectively managing time and resources to meet deadlines for transmission of Payroll data - Coordinating to properly report taxable relocation expense payments/reimbursements and taxable personal use of Company-provided leased vehicles and benefit in kind - Auditing month end Payroll and benefits data to ensure accuracy before released to Associates - Efficiently interacting with providers, trustees, and advisors regarding plan administration issues - Preparing and executing, with legal consultation, benefit documentation such as original and amended plan texts, and benefit agreements - Handling difficult benefit inquiries and complaints to ensure quick, equitable, courteous resolutions - Day-to-day administration of benefit plans in collaboration with brokers - Yearly evaluation of renewals and ensure increases are within agreed scope, approved and transmitted for accrual to finance - Ensuring appropriate approvals are received for all changes in remuneration and/or benefits - Creating and maintaining up to date payroll administration work processes documentation - Managing, reviewing and ensuring approval for travel and salary advance (in line with policy) - Effectively communicating in benefit changes and updates - Identifying process inefficiencies - Implementing Lean methodologies - Collaborating with cross-functional teams and vendors - Driving automation initiatives - Ensuring alignment with IT and Digital for technology-driven improvements
Must have:
  • 10+ years of experience with Belgium payroll WCW and BCW
  • Experience in our industry
  • 116 and 207 parity
  • International payroll exposure
  • Benefits management
  • Vendor negotiations

 Expectations for the role

 

Effective Management of Payroll Operations

  • Interface with third-party Payroll and Employee Benefit service providers in support of Payroll objectives and strategies

  • Effectively communicate with Associates regarding changes to Payroll policies/procedures; address questions from Associates regarding Payroll matters as they arise
  • Collaborate with external auditors on Payroll-related items during both Financial Statement and Employee Benefit Plan audits
  • Respond to tax and state/local Payroll tax notices
  • Complete other ad hoc Payroll-related tasks as necessary
  • Accurate and Timely Processing and Approval of Payroll Data, Remittance of Employee Benefit
  • Effectively manage time and resources to meet deadlines for transmission of Payroll data
  • Coordinate to properly report taxable relocation expense payments/reimbursements and taxable personal use of Company-provided leased vehicles and benefit in kind
  • Audit month end Payroll and benefits data to ensure accuracy before released to Associates

 

Efficient Benefits Administration

  • Effectively interacting with providers, trustees, and advisors regarding plan administration issues
  • Preparing and executing, with legal consultation, benefit documentation such as original and amended plan texts, and benefit agreements
  • Handling difficult benefit inquiries and complaints to ensure quick, equitable, courteous resolutions
  • Day-to-day administration of benefit plans in collaboration with brokers
  • Yearly evaluation of renewals and ensure increases are within agreed scope, approved and transmitted for accrual to finance
  • Min every 3 years check our benefits offering vs benchmark and propose where adaptation is needed

 

Ensure internal process Compliance

  • Ensuring appropriate approvals are received for all changes in remuneration and/or benefits
  • Create and maintain up to date payroll administration work processes documentation
  • Managing, reviewing and ensuring approval for travel and salary advance (in line with policy)
  • Effective communication in benefit changes and updates

 

Process Improvement

  • Identifying process inefficiencies.
  • Implementing Lean methodologies.
  • Collaborating with cross-functional teams and vendors.
  • Driving automation initiatives.
  • Ensuring alignment with IT and Digital for technology-driven improvements

 

 

Minimum requirement to apply

 

  • min 10 years of experience with Belgium payroll WCW and BCW ideally in our industry and 116 and 207 parity
  • international payroll exposure
  • experience in handling multiple countries payroll
  • benefits management
  • vendor negotiations
