The Recruiting Operations Manager is responsible for a seamless and positive candidate experience. The role involves leading a team of recruiting coordinators, managing operational aspects, and driving program management. Responsibilities include team leadership, coordination process management, ensuring a positive candidate experience, program management, reporting, and analytics, along with additional areas like onboarding and ModernLoop tool management. The ideal candidate is highly organized and detail-oriented and will be responsible for managing a team and creating a positive candidate experience.
Must have:

  • Experience identifying inefficiencies and executing solutions.

  • Strong attention to detail and accuracy.
Good to have:
  • Proficiency in Greenhouse and ModernLoop.
  • Experience managing a candidate experience program.
  • Vendor management experience.

Job Details

The Recruiting Operations Manager is a critical role responsible for ensuring a seamless and positive candidate experience throughout the recruitment process. This role will lead a team of recruiting coordinators and manage the operational aspects of coordination, ensuring efficiency and accuracy. Additionally, this person will be a key member of the Recruiting Operations team, driving program management on key programs, specifically candidate experience, to enable the recruiting team to be successful. The ideal candidate is highly organized, detail-oriented, a strong communicator, and possesses a passion for leading a dynamic team and creating exceptional candidate experiences.

 

You will:

  • Team Leadership and Management

    • Lead, mentor, and develop a team of Recruiting Coordinators.
    • Manage load balancing across the team, monitor performance, and provide ongoing feedback and coaching.
    • Ensure team adherence to best practices and company policies.
    • Foster a collaborative and supportive team environment.
  • Coordination Process Management

    • Oversee the scheduling and coordination of interviews, including phone screens, virtual interviews, and on-site interviews.
    • Oversee candidate communication, ensuring timely and professional responses.
    • Establish and maintain documentation for recruiting coordination processes and procedures, ensuring consistency and knowledge sharing.
    • Develop and implement process improvements to enhance efficiency and effectiveness.
    • Work with the team to ensure Greenhouse and ModernLoop data accuracy and integrity, as related to Coordination responsibilities. 
    • Ensure compliance with all applicable employment laws and regulations.
  • Candidate Experience

    • Champion a positive and consistent candidate experience throughout the recruitment lifecycle.
    • Gather and analyze candidate feedback to identify areas for improvement.
    • Implement strategies to enhance candidate engagement and satisfaction.
    • Work with stakeholders (recruiting team and hiring managers) to ensure a smooth hand off of the candidate through the hiring process.
  • Program Management

    • Lead cross-functional projects related to recruiting operations. 
    • Define project scope, timelines, and deliverables for recruiting coordination programs, ensuring alignment with overall recruitment goals.
    • Monitor program progress, identify potential risks and roadblocks, and implement mitigation strategies.
    • Conduct post-program analysis to measure effectiveness and identify areas for continuous improvement.
  • Reporting and Analytics

    • Generate and analyze recruitment metrics and reports to track performance and identify trends related to Recruiting Coordination. 
    • Provide regular updates to the recruiting team related to Coordination. 
    • Identify and recommend solutions to address recruitment challenges related to Coordination and candidate experience. 
  • Additional Areas

    • Assist with onboarding coordination, ensuring a smooth transition for new hires.
    • Own and maintain a strong relationship with ModernLoop, scheduling tool. 
    • Stay up to date on new ModernLoop features and communicate those to the team. 
    • Provide ModernLoop with regular feedback and requests to ensure we’re using the tool to its fullest potential and it’s meeting the needs of our team. 

Ideally you'd have:

  • 7+ years of experience in recruitment coordination organization.
  • 4+ years experience leading and developing a high performing team.
  • Strong understanding of recruitment processes and best practices.
  • Experience identifying inefficiencies, solutions and executing, to ensure the strongest process. 
  • Excellent organizational, time management, and problem-solving skills.
  • Exceptional communication and interpersonal skills.   
  • Ability to work in a fast-paced and dynamic environment.
  • Strong attention to detail and accuracy.   

Nice to haves:

  • Proficiency in Greenhouse and ModernLoop
  • Experience managing a candidate experience program
  • Vendor management experience
